Instructions and guidance materials on how to prepare your research data for sharing and long-term access and how to deposit your research data in the University of Guelph Research Data Repositories (Data Repositories).
How the Data Repositories work: Upon request, depositors are given dataset creator access to a collection in the Data Repositories allowing them to create new draft dataset records and submit their draft datasets for review. Repository staff review all submitted datasets for alignment with repository policies and data deposit guidelines. Repository staff will work with depositors to make any required changes to the metadata, data files, and/or supplemental documentation to improve the FAIRness (findability, accessibility, interoperability, and reusability) of the dataset. When the dataset is ready, repository staff will make the dataset publicly available in the repository on behalf of the depositor.
How to start the deposit process:
First time depositor?:
- Create a repository account using your U of G credentials by going to the repository log in page. On this page, under the ‘Your Institution’ section, select University of Guelph from the drop-down menu and click Continue. Follow the instructions to link the repository to your U of G central login credentials.
- Complete the U of G Research Data Repositories Data Deposit Intake Form online survey.
Already have dataset creator access to your home department's collection? Simply log in using your U of G credentials and begin a new deposit.

| Service Model
The library offers a mediated data repository service. We have adopted this model to promote the discovery, reuse, and long-term access of data files and accompanying documentation for all datasets deposited in the Data Repositories. The Data Repositories are guided by the FAIR guiding principles for data management and stewardship and our mission is to support the U of G community in making their research data FAIR - that is data which is findable, accessible, interoperable, and reusable.
Repository staff will work with you to prepare your data for deposit and set you up with dataset creator access to an appropriate collection in the repositories.
Deposit Workflow
- Gather your dataset materials and ensure your files meet the best practices as outlined in the Data Deposit Guidelines.
- Gather your supplemental documentation. You may use the Readme template to document explanatory information required to understand, interpret, and reuse your data. If you have supplemental documentation available in some other format (e.g., codebook, data dictionary, etc.) that can be provided instead of the readme template.
- Create a draft dataset record for your prepared dataset in the repository. The Data Submission Guide provides instructions for depositing a dataset in the repositories.
- Submit your draft dataset record for review.
- Repository staff will review your submitted draft dataset for alignment with the data deposit guidelines and will work with you to make any required changes to the descriptive information (metadata), data files, and/or supplemental documentation included in your dataset to improve its FAIRness (findability, accessibility, interoperability, and reusability).
- Once the dataset is ready, repository staff will publish it in the Data Repositories, making it publicly available.
